Building a planning and approvals register for your project

One table that records every permission, its conditions and its validity — the simplest tool for avoiding late surprises.

Projects accumulate permissions: CLU or licence, building plan, revisions, fire, environment, power, water, height, estate permissions. Each comes with conditions and dates. Most late problems come from a condition nobody tracked.

The register

Keep one row per permission: - Issuing authority and reference number - Date issued and validity - Conditions (each as its own line) - Who is responsible for each condition - Evidence of compliance - Next action and date

Habits that help

  • Add a row the day an application is filed, marked applied — not an approval.
  • Copy conditions verbatim from the document; summarise beside them.
  • Review the register at every design revision and before occupation.
